Part-time Assistant Administrator

We’re seeking an experienced and skilled part-time Assistant Administrator to assist the Administrator and a small staff team in the efficient and effective running of the office and administrative functions at OTR, and to support its counselling and information services for young people.

About Us

Off The Record Twickenham provides counselling, information and sexual health services for young people in the borough of Richmond Upon Thames. Our free and confidential services offer easy access to counselling in youth-friendly, non-clinical settings across the borough, to improve young people’s emotional and mental well-being during periods of extreme stress and anxiety.

In 2021-22 we supported over 1,000 young people, and we have continued to provide our counselling services through online and face-to-face support in the current challenging climate. Our vision is that “Every young person has a welcoming space where they feel valued, supported and listened to”.  

Main responsibilities of the post

The main responsibility will be to support the Administrator in responding sensitively to referrals from young people, their parents/carers, and other agencies, and to book in client counselling sessions and share management of the Counselling Waiting List. Additional tasks may include:

  • Promoting OTR’s activities, through website, social media and other digital channels and communications, and to keep OTR’s website relevant, informative and up-to-date
  • Assisting the Board of Trustees on matters of governance, and with specific, stand-alone strategic and fundraising projects, including some minute-taking at Board meetings
  • Providing high quality administrative and secretarial support to the staff team, which will include office management and facilities tasks; to ensure that management information and filing systems are methodical and accessible, and that there is full compliance with the principles of data protection and confidentiality on behalf of all service users.

This is a part-time post of 10 hours a week, to be worked on two mornings per week. There may be an occasional need to cover evening sessions to minute the Board meetings, or provide evening sessional cover for the counselling service. The post is office-based in Church Street, Twickenham.

Salary:  £26,000p.a. pro rata (£7,222 based on a 10-hour week)
